Event Planning: Plan Out Your Staff

Waiters

  • For a formal sit-down dinner, you may need approximately 1 waiter for every 10 to 15 guests.

  • For a buffet it’s common to have 1 waiter for every 20 to 30 guests, focusing on tasks such as assisting with the buffet, replenishing dishes, and clearing tables.

  • For a cocktail party or reception with passed appetizers, you may need 1 to 2 waiters per 25 to 30 guests.

Bartenders

  • For a cocktail party or reception where guests will primarily be consuming mixed drinks, cocktails, or wine, you may need 1 bartender for every 50 to 75 guests.

  • If you are serving beer, wine & non-alcoholic beverages only, you will need one bartender for up to 100 guests.

Captain

  • With experience in event coordination, the Captain ensures that every aspect of the event, from setup to breakdown, is executed seamlessly. This includes managing timelines, coordinating with clients, and handling any unexpected challenges that may arise.

  • An Event Captain serves as a central point of leadership, coordinating the efforts of the entire event team. This ensures that everyone is on the same page and working towards a common goal.

Chef Assistants

  • Focusing on tasks such as replenishing dishes, ensuring presentation, and assisting with carving or plating if required.

  • For events where the focus is on appetizers, canapés, and small bites, the number of chef assistants may be determined by the complexity of the menu and the need for on-site preparation. Typically, 1 to 2 chef assistants per main chef might suffice.
